Terms and Conditions

All Sites must agree to conduct their promotions in a rational and fair manner and accept the following conditions:

1.   General

  • The hirer will at all times keep their allocated site tidy and presentable.
  • The hirer will at all times ensure that their site is staffed.
  • The hirer must at all times ensure that pedestrian traffic must not be blocked as a result of persons visiting your site.
  • The hirer must ensure that Workplace Health and Safety practices are observed at all times at their site.
  • Aggressive marketing activities are not permitted. Hirers must not be coerced into providing personal details for mailing lists, but may do so by free choice.
  • Directions from the President [John Gibson] and/or Secretary [Mark Bailey] of the North Coast National A&I Society (NCN), or authorised Staff must be adhered to in all instances.

2.   Trade Passes

  • Trade passes are non-transferable.
  • Vehicle passes will be supplied with your site’s trade passes; all occupants of the vehicle must carry their trade pass/ticket or pay a general admission fee at the gate.
  • Additional passes must be purchased prior to the show; NO hirer passes will be available after the commencement of the Show. Passes will not be forwarded until full payment is received.

3.   Damage

  • No hirer shall insert any item under the surface of the ground without first seeking permission from the Trade Space Co-ordinator or designated representative.

  • If damage or repairs need to be made to the supplied site, the hirer must inform the Trade Space Co-ordinator immediately.

  • Hirers will be liable for all costs of repairs resulting from any damage done to any underground services, buildings and associated fixtures of the site.

4.   Power & Lighting

  • Power is supplied as part of the site fee. 1x 240-volt, single-phase power (10 amps) is available.  Three Phase power is available, but must be negotiated in advanced.

  • The hirer will be required to provide their own extension leads with all cords displaying a current appliance test tag.

5.   Electrical Leads

  • Site holders are required to provide approved RCDs on all electrical leads to be connected to electrical outlets on the Showground.

  • Elevated cables must be a minimum of 3 metres above the ground.

  • Cables are not permitted to be laid on top of the ground causing a safety hazard.

  • Any hirers intending to bring electrical equipment to the Showground will be required to ensure that such equipment is fitted with earth leakage circuit breakers and that all electrical leads, tools and appliances have been inspected and tagged by a licensed electrical contractor prior to arrival on the ground.

6.   Security & Risk

  • The Showground is bordered by security fencing and all-night security will be provided to patrol the site.

  • The hirer acknowledges that while all care is taken, The NCN shall take no responsibility for any loss or damage to any hirer’s stock, equipment, reputation or goodwill that may result for whatever reason either before, during or after this event.

7.   Hazardous Material

  • Hirers must notify the NCN if any item involved with their stall is classifiable under the Hazardous Chemical schedule.

  • The NCN has the right to refuse the storage and/or usage of any such material.

  • Hirers are not permitted to display or sell items deemed unsuitable by Federal Council of Agricultural Societies <https://www.agshowsnsw.org.au/files/Other%20Forms/Banned_Items_List_as_at_July_2015.pdf>

8.   Noise

  • Hirers must ensure that any noise levels emanating from their site will be at a level that is considerate of others.

  • Music must not be played within the stall area unless prior written approval is received from the NCN.

  • Hirers are responsible for ensuring that any relevant licenses are obtained.

9.   Public Liability Insurance

  • The Hirer shall take out public liability insurance with a limit of liability of no less than $10, 000, 000 (and indemnifies) and will indemnify the organisers, its agents, servants, contractor and employees from all actions, claims, demands, losses, damages, costs and expenses arising from the participant’s use of the site and in particular but without limiting the generality of the foregoing against any loss, damage or injury form any cause whatsoever to the property or person caused by or contributed to be the use of the site by the participant or any servant, agent or other person duly authorised by the participant whether such loss, damage or injury occurs on the site or not and whether caused by any act, omission, neglect, breach or default of the participant or any other person.

  • A Certificate of Currency of the Public Liability Insurance must be provided to NCN with payment for space.

  • If you do not have Public Liability Cover the NCN may be able to provide this cover for you at an additional fee, please contact our office to discuss.

10.       Sub-Letting

  • The allocated site is to be used only and solely for the purpose specified on the application and by the person or firm to whom it has been allocated. NO subletting will be permitted without the written permission of the NCN.

11.       Site Allocation

  • NCN reserves the right to vary the space allocated to the Hirer if to do so would be in the interest of a better showing of exhibits.

  • In unforeseen circumstances, NCN reserves the right to amend or alter the exact site location to which the Hirer will raise no objection.

12.       Cancellation and Refund

  • Once payment is made, no refunds will be granted for any cancellations.
  • The NCN maintains the right to cancel any booking that has not paid in full by the 1st of October, 2019. In the case of part payment being made, no refund will be given.

13.       Food Stalls and Charities

  • All food stalls that are not run by a registered charity will allocate a location on their servery for the NCN A&I to place a charity collection tin. The funds raised by these tins will be divided evenly among our registered charities.

14.       Trading Times

  • The main show is open 9 am – 9 pm Thursday and Friday with extended hours on Saturday Night.
  • The pavilion is open from 9 am – 8 pm each day.
  • Exhibitors in the Pavilion MUST operate from:
    • 9 am – 6 pm Thursday and Friday and,
    • until 7 pm on Saturday.
    • We encourage stallholders to be open for the entire time (9 am – 8 pm).
  • Outdoor Exhibitors MUST trade from
    • 9 am – 6 pm Thursday,  
    • 9 am –  7 pm Friday and
    • 9 am – 8 pm Saturday.
